Solar quotations can contain personal information. QuoteCalm is designed to analyse the document while minimising what is retained afterwards. We do not require a phone number or account to use the quote checker.
Who is responsible for your data?
David McGlashan trading as QuoteCalm operates QuoteCalm and is responsible for personal data processed through this service. Privacy enquiries and rights requests can be sent to hello@quotecalm.co.uk.
What we process when you upload a quote
A quotation can contain names, addresses, contact details, installer contacts, equipment details, prices and finance information. We process the file so that QuoteCalm can extract the information needed to produce the check you requested.
Raw uploaded files
QuoteCalm does not save the original PDF or image in its own database after the analysis request is processed. The file is transmitted securely to a document-processing provider so structured information can be extracted.
Our current document-processing provider is OpenAI. OpenAI states that API inputs and outputs are not used to train its models by default and may be retained for up to 30 days for service delivery and abuse monitoring unless a different eligible retention setting applies. Provider policies can change, so this notice will be reviewed when our processing setup changes.
Structured quote records
For service reliability and to investigate document-reading problems, QuoteCalm may retain a structured record of extracted quote fields for up to 30 days. These records are automatically marked for deletion and do not include the raw uploaded file.
Quote benchmark data
QuoteCalm may retain a reduced set of quote data to improve UK solar comparisons. This can include broad region or postcode area, quote month, total price, system size, equipment specification, battery capacity, warranties and important inclusions. The benchmark dataset is designed not to contain names, full addresses, email addresses, phone numbers, raw documents or finance-provider identity.
We use this information to make future quote comparisons more useful and to understand market pricing. We do not sell homeowner contact details to installers.
Our lawful basis
We rely on legitimate interests where appropriate to provide and improve the service, maintain security and reliability, and develop de-identified market benchmarks. Our interests are to operate a useful consumer quote-checking service and improve its accuracy while keeping privacy impact low through data minimisation, limited retention and removal of direct identifiers. You have the right to object to processing based on legitimate interests.
Service providers
QuoteCalm uses third-party providers to host the website, process documents, store structured data and, where you agree, measure website usage. The current production stack includes Vercel for hosting, Supabase for database services, OpenAI for document processing and Google Analytics for optional website analytics. They process information on our behalf under their own service and data-protection terms.
Analytics and security
We collect limited first-party technical and usage events needed to understand whether the service is working, such as whether an upload started, completed or produced a report. We aim to minimise this data and do not require an account or phone number for the launch service.
Google Analytics is optional. It is only loaded after you choose “Accept analytics” on the site. If you decline, the quote checker continues to work normally. We have disabled Google Signals and advertising-personalisation signals in the site configuration. Your analytics choice is stored in your browser so we can remember it.
Your rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase or restrict the use of your personal information, and to object where we rely on legitimate interests. To make a request, email hello@quotecalm.co.uk.
